Job Description – Purchase Manager Position: Purchase Manager Department: Procurement & Supply Chain Location: Mohali Reporting To: Operations Head / Director EVA Furniture, a unit of Geeken Design, specializes in office furniture, ergonomic seating, modular workstations, storage solutions, and customized workspace solutions. We are committed to delivering quality products through efficient sourcing, vendor partnerships, and streamlined procurement processes. Job Summary We are looking for an experienced and detail-oriented Purchase Manager to oversee the procurement of raw materials, components, furniture hardware, upholstery materials, packaging materials, and other operational requirements. The candidate will be responsible for vendor development, cost optimization, negotiation, inventory planning, and ensuring timely procurement to support production and project execution. The ideal candidate should have prior experience in the furniture, interiors, manufacturing, modular furniture, or related industries and possess strong negotiation and supply chain management skills. Key Responsibilities Procurement & Sourcing • Manage end-to-end procurement activities for raw materials, furniture components, hardware, accessories, fabrics, laminates, plywood, steel, packaging materials, and other operational requirements. • Identify, evaluate, and onboard reliable vendors and suppliers. • Obtain quotations, conduct comparative analysis, and finalize purchases based on quality, cost, and delivery timelines. • Ensure uninterrupted availability of materials to support production and project schedules. Vendor Management • Develop and maintain strong relationships with existing and new suppliers. • Negotiate pricing, payment terms, contracts, and delivery schedules to achieve cost efficiencies. • Monitor vendor performance regarding quality, pricing, and service levels. • Conduct periodic vendor evaluations and audits. Inventory & Cost Control • Coordinate with production, stores, and operations teams for material planning and forecasting. • Monitor inventory levels and ensure optimum stock availability. • Implement cost-saving initiatives without compromising quality standards. • Minimize excess inventory and material wastage. Purchase Planning & Coordination • Prepare purchase plans based on production schedules, sales forecasts, and project requirements. • Track purchase orders and ensure timely deliveries. • Resolve supply chain issues, shortages, and delays proactively. • Coordinate with logistics teams for material movement and dispatch planning. Compliance & Documentation • Ensure proper documentation of purchase orders, contracts, invoices, and vendor records. • Maintain procurement reports, MIS, and purchasing data. • Ensure compliance with company procurement policies and quality standards. Market Intelligence • Monitor market trends, pricing fluctuations, and availability of raw materials. • Identify alternative suppliers and sourcing opportunities. • Keep updated on new products, technologies, and procurement practices within the industry. Desired Candidate Profile Education • Bachelor's Degree in Commerce, Supply Chain, Engineering, Business Administration, or related field. • MBA / PGDM in Supply Chain Management or Operations preferred. Experience • Minimum 5 years of experience in Procurement, Purchase, Supply Chain, or Vendor Management. • Experience in: o Furniture Manufacturing o Modular Furniture o Interior Fit-outs o Wood-Based Products o Building Materials o Manufacturing Industry Skills Required • Strong negotiation and vendor management skills. • Knowledge of procurement processes and supply chain management. • Cost analysis and budgeting expertise. • Inventory planning and material management. • Strong analytical and problem-solving abilities. • Proficiency in ERP systems, MS Excel, and procurement software. • Excellent communication and coordination skills. Key Performance Indicators (KPIs) • Cost savings achieved through strategic sourcing. • Timely procurement and material availability. • Vendor performance and supplier reliability. • Inventory optimization and stock control. • Purchase order turnaround time. • Reduction in procurement costs and wastage. • Compliance with quality and procurement standards.
